Preview Printing, Scanning and Export: A Practical Mac Workflow

Create the file or printout the recipient actually needs without confusing a print transformation with an editable original.

The short answer

Preview can print selected pages, arrange pages on a sheet and export supported files. It can also work with supported scan/import routes. Decide whether you need a physical print, a flattened viewing copy or a reusable source before choosing the command.

Start with the destination

A school handout, a signed return form, a photo sheet and a searchable archive need different outputs. Ask whether the recipient will print, read on screen, annotate or edit. That answer determines whether a print-to-PDF transformation is suitable.

Keep the source document and name output copies by destination. A print copy may be acceptable for viewing and unsuitable for continued form filling.

Print only the pages you mean

Select page thumbnails when you need a subset, then open File > Print and use the selection option where shown. Apple also documents including visible notes, pages per sheet, copies per page and scaling controls. Inspect the print preview before using paper.

A two-page-per-sheet lecture handout saves paper but shrinks diagrams. For a label or a drawing with a scale requirement, do not casually choose Fit to fill. Check a physical reference dimension on a first print.

Understand fit, fill and clipping

Print Entire Image aims to keep all the image visible; filling the paper can crop to the paper’s proportions. An unexpected missing edge may be a layout choice rather than corruption of your PDF.

Use a small first print for important material. Inspect page order, orientation, borders and annotations. A correct screen view does not establish that printer scaling or paper selection is correct.

Export when format is the real requirement

File > Export selects a supported output type. That is the appropriate place to make a delivery copy with a different format, rather than changing the extension in Finder. Check the resulting file at its destination.

Do not route every problem through Print > Save as PDF. Some document features may change when printed; an export is not automatically lossless either. Verify the behaviors that the recipient needs.

Bring in photos or scans through the available system route

Apple documents importing from a connected camera and using supported iPhone/iPad import routes. Your hardware, account setup and macOS determine which options appear. A missing device in the menu is not proof that a third-party scan subscription is required.

For paper, use a flat, readable capture with all corners visible. Before archiving a multi-page result, inspect every page for missing edges, finger shadows, accidental duplicates and reversed order.

Scan directly from a supported scanner or phone

For a configured scanner, choose File > Import from Scanner > the device. Show Details reveals available capture options; hardware determines features such as a document feeder or duplex. If the device is absent, check macOS Printers & Scanners before changing applications.

For a supported iPhone or iPad setup, Apple documents File > Import from iPhone or iPad > Scan Documents. Scan the pages, inspect their boundaries and save the resulting document. Keep capture and later OCR as separate decisions.

A scanner workflow is more than a PDF file

The first question is whether the capture is readable and complete. The next is whether it must be searchable, automatically named, split by document or synchronized with a larger archive. Preview’s ability to open a scan does not establish those downstream features.

A dedicated scanner app becomes useful when capture automation, repeated cropping, OCR or routing is the actual need. Scanner Pro is one candidate to examine; do not imply that any paid scan app is necessary merely to capture a single sheet.

Check the outgoing file and retain the original

Reopen the saved output, inspect its pages and search if searchability is required. For a form, inspect responses and signatures; for a handout, inspect the layout at the intended reading size.

The delivery file is a result, not your only backup. Retain editable sources and the capture originals when another revision is likely. If the file is too large, move to the compression chapter after the content is correct.
